K-State Launches New ADP System for Employee Time Tracking

There is a new time and leave system on campus that went into effect on Sunday, October 26th. The latest software that student employees will have to use from now on is called ADP. This is how they will be able to manage their clock-in and clock-out times. This new software system has been rolled out across all three K-State campuses: the Manhattan, Salina, and Olathe campuses. 


Student employees have three options for doing this: by computer, by mobile device using the ADP app, or by time clock. If student employees clock in or out on their computer, they will need to use the website linked to the software. With the time clocks, unlike the old way where students had to put in a job code and do a fingerprint, they now just need to use their Wildcat One ID card to clock in or out. This will make it easy for students who clock in or out using the time clocks instead of one of the other alternatives. However, all student employees must have a new Wildcat One ID card. The new ones are vertical, and the older ones, which are horizontal, do not work with the ADP system.  


Frequently asked questions from students include “What should I do if I forget to punch in?”. To answer that question, “If you forget to punch in, please do so as soon as you remember”. You’re also allowed to comment on your time punch and let your supervisor know so that they will be able to adjust it later. Another question students wonder is “Do the clocks communicate with each other?” To answer that question, “Yes, the clocks are all connected to the same system”. One more question the student employees have been asking is “What if I forgot my badge?”. To answer that question, “If you are able to clock using a method that does not require your badge, please do so.” The alternatives would be through the website or through the ADP app. 


Unlike how the old system worked, the new system will no longer allow for overtime. Because of this, all student employees will only be able to clock 30 hours per week. During breaks, students will still be able to work several more hours during the week. However, the only way that students will be able to be eligible for overtime is if they’re able to hit 40 hours per week. This new system has been known to cause problems and has not been reliable 100% of the time. The reason why the new system was implemented for the university was for financial reasons, and Kansas State is not the only university that has this new ADP system. 


Requesting time off has been a challenge with this new system as well. The reason why Kansas State decided to follow through with implementing this new system was to make the experience of students clocking in and out easier than it’s been in the past. Going forward, K-State hopes that students will be able to adjust to the new way of clocking in and out of their work on campus.
